The six emails that decide whether a sale works

A collector might visit the site three times during an auction. They will receive a dozen emails. For most of the cycle the email is the product — and it is the surface almost every auction house neglects entirely.

Why this matters commercially. The outbid alert is the single highest-revenue message Icons sends: it is the only thing that brings a bidder back to raise. If it arrives late, reads like a system notification, or makes someone hunt for the lot, that is money left on the table. Everything below is designed to be read on a phone, in about four seconds.

Why it is built this way

  • 01The lot number is in the subject line. A bidder watching six lots needs to know which one before they open anything.
  • 02The preview text carries the numbers. On a phone lock screen, that line often decides whether the email gets opened at all — so it holds the current bid, the next bid and the time left.
  • 03Their own maximum is shown. It reminds them what they decided, which is what makes raising it feel like a decision rather than a reflex.
  • 04One action, in red. No secondary links competing with it. Red means live, exactly as it does on the site.
  • 05The premium is stated. Nobody should raise a bid without that number in front of them.

Why it is built this way

  • 01Dark button, not red. They have not bid. This is an invitation, not an emergency — and red has to stay scarce to keep meaning something.
  • 02The anti-snipe rule is explained here, at the moment it becomes relevant, rather than buried in the terms.
  • 03The opt-out is specific. “Turn off closing reminders” — not “unsubscribe” — so nobody kills their outbid alerts trying to reduce noise.

Why it is built this way

  • 01“You won it.” Three words. This is the best email Icons ever sends and it should feel like it, before any arithmetic.
  • 02The full total is in the preview line. The premium surprises people. Better it lands on the lock screen than after they have clicked through expecting $3,700.
  • 03Every line of the invoice is itemised in the email itself, not hidden behind a link. A winner should be able to check the arithmetic without signing in.
  • 04The payment plan is offered unprompted. Someone who has just committed $4,847 is exactly who needs to know it exists — and offering it collects more money than not offering it.

Why it is built this way

  • 01The figure is in the subject line. A consignor waiting on a settlement should not have to open anything to learn the number.
  • 02Unsold lots get a decision, not silence. The most common consignor complaint anywhere is not knowing what happened to what did not sell.
  • 03The premium note appears again. Consignors misread it constantly; repeating it here costs nothing and prevents a phone call.
Build notes These are designed as table-based HTML with inline styles and a plain-text alternative, because Outlook and Gmail strip most modern CSS. Maximum width 600px, one column, no background images, real text rather than image headers — so they survive dark mode, image blocking and a screen reader. Sent from a different domain to the Mailchimp newsletter, so a marketing complaint never affects delivery of an outbid alert.
