Who is bidding
Visible to you alone. The room shows the current bid and the asking price — no names, no paddles, no bidder locations.
Autopilot
The sale runs itself on these four timers. The asking price falls one increment at a time until somebody takes it, and never below the opening bid — Icons lots carry no reserve.

Absentee bids
Maximums stay hidden until the lot is on the block. The console executes them competitively — a bid only rises as far as it needs to, and a lot with a single absentee bid on it sells at the opening price.

Staff ring five lots ahead. Confirming emails the bidder and puts the line on the console for the lots they asked for.

The public form closes at 5pm the evening before the sale. Anything that arrives after that is turned away with a note pointing at the live room.

Where these come from
The public page takes a serial, photographs and a note, and says we will reply within two business days. It never confirms or denies anything on its own.

Adding somebody takes two steps, in this order
This changed when the database was locked down for the public website. An account that can sign in is no longer automatically an employee — that is the whole point, because customers sign in too. Do these the wrong way round and the person gets a customer's account with no access to anything.
- Create the employee record here first. Name, work email, role. This is the row that says “this email belongs to staff”.
- Then create their login in Supabase using exactly the same email address. Authentication → Users → Add user. The two are matched on the email, so a typo in either one leaves them locked out.
- They sign in and land in the admin area. If they see the customer site instead, the emails do not match — fix the spelling and they will not need a new account.
Who works here
Inactive staff keep their history and lose their access the moment you switch them.

What customers can never reach
Worth knowing, because it is enforced by the database rather than by this interface. A signed-in customer hitting an admin address gets nothing back — not an empty page, no rows at all.
- What a lot cost us, and anything about the consignor.
- Other people's bids, invoices and addresses.
- Internal notes on an item, and the audit log.
- The certificate register, which is why verification is a request and not a search.
- The staff list itself — including the fact that it exists.

Winners are grouped into one invoice per buyer, not one per lot — somebody who won three lots gets three lines and pays once. Issuing sends the invoice, starts the seven-day clock, and emails them a payment link. Nothing here charges anybody automatically.

Lots stay with us until the final payment clears. The deposit is non-refundable — if the plan is abandoned, the lots come back to us along with everything paid.
Taking payment outside the platform
Checks, money orders and wires do not appear here on their own — somebody has to mark them received once the funds clear. Nothing ships before that.
Every entry here is written to the audit log with your name against it. A payment marked received by hand is the one thing on this screen nobody else can verify, so it is worth being careful.

Nothing pays out on money we have not received
A lot only settles once the buyer's funds have cleared. Where a buyer is late, on a payment plan, or their card has failed, that consignor's lot is held back and named on their statement with the date it is expected. It is the single rule that keeps an auction house solvent, so the Pay button below simply does not appear until it is satisfied.

Statements are generated from the sale — nothing is typed in. Review, send, then pay.
Unsold, and what happens to it
Every unsold lot is a decision the consignor has 30 days to make. Chase these — a lot re-offered in the next sale usually beats one returned.

Who this is
What the widget does on its own
Before anybody types a word, the chat already knows which page it is on and offers questions worth asking there — condition and shipping on a lot, premium and packing in the cart, why we need a card on the registration page. Outside office hours it says plainly that nobody is there and takes an email instead of pretending.

Three documents, all printable and all saveable as PDF straight from the browser — a pick list for pulling the lots, a packing slip that goes in the box with no prices on it, and a certificate sheet for applying the holograms. Invoice PDFs come from Stripe and do not need printing.

This is the number that justifies the platform. It should be checked after every sale — if a sale on our own system nets less than it would have on an auctioneer's, that is worth knowing immediately rather than at the end of the year.
