01 Who we are
Icons of Pop Culture is an entertainment memorabilia auction house registered in Florida.
We sell wardrobe, props, set dressing and production assets acquired from film and television
productions. This policy covers this website, our auction platform, and the emails we send.
If you want to reach a person about anything on this page, write to
privacy@iconsofpopculture.com and you will get a human reply.
02 What we hold
Only what running an auction house actually requires. Here it is, in plain terms.
Account details
Your name, email address and password. The password is stored hashed — we cannot
read it, and neither can anyone who takes a copy of our database.
You give us this when you create an account
Bidder registration
Billing address, phone number, and a card on file so we know a bidder is real.
Registration to bid is a separate step from having an account, and we only ask for this at
that point.
You give us this when you register to bid
Bidding records
Every bid you place, the maximum you leave, what you win and what you pay.
These are the auction's records and they are permanent.
Created as you use the platform
Orders and shipping
Delivery addresses, invoices, shipping quotes and tracking numbers.
Created when you buy something
Messages
Emails, contact form submissions, live-chat conversations, and the private
questions you send the auctioneer during a sale.
Created when you write to us
Technical information
IP address, browser, device type, and which pages you looked at. Standard
web-server information, and how we tell a person from a scraper.

You choose this, and can change it in one click
We do not collect anything about your race, health, politics, religion or biometrics, and we
never ask for a Social Security number.
03 The live auction room
Running a live sale means knowing who is in the room. This section exists because most
auction platforms collect this quietly and never mention it. We would rather write it down.
While a live auction is running and you are signed in, the auctioneer's console
shows the people in the room and what they are doing:
- Your name and paddle number, and whether your bid came from the internet, the phone, the
absentee book or the floor.
- What kind of device you are on — desktop, tablet or phone — and if you are
signed in on more than one at once, that both are open. This is how we tell one person on two
screens from two people bidding.
- Whether you are actively watching, idle, or currently the high bidder.
- Interaction signals on the bidding controls, including when your cursor is resting
on the Bid button. The auctioneer uses this to judge whether to hold a price or let it fall.
None of this is shown to other bidders. The public room displays the current bid, the asking
price and nothing about who is behind either — no names, no paddle numbers, no locations.
This information is used to run the sale and to protect its integrity, and it is not used to
advertise to you.
If you would rather not be measured that closely, you can bid by absentee or by phone
instead of in the live room. Tell us before the sale and we will take your bids that way.
04 Why we use it
- To run auctions. Accepting bids, identifying the winner, issuing invoices,
and keeping an accurate record of who bought what.
- To get your lot to you. Packing, quoting shipping, booking carriers, and
completing customs paperwork on international shipments.
- To keep the platform honest. Detecting fraudulent registrations, shill
bidding, chargeback abuse and automated scraping.
- To answer you. Replying to questions before and after a sale.
- To tell you what is coming — but only if you asked us to. Marketing email
is opt-in and one click to leave.
- To meet our obligations. Tax records, sales tax collection, and the
authenticity register behind every certificate we issue.
05 Payment details
Card numbers are entered directly into our payment processor's systems and never reach our
servers. We store the card brand, the last four digits and an expiry date, which is what lets us
show you “Visa ending 6411” on an invoice.
Bank transfers, checks and money orders are handled by our bank. Payment plans are recorded as
a schedule of amounts and dates against your invoice — nothing more.
06 Cookies
Essential
Keep you signed in, hold your cart, and stop other people submitting bids in your name.
The site does not work without these and they cannot be switched off.
Preference
Small things the page remembers for you — whether the sound in the live room is on, which
tab you last had open. Stored in your browser, never sent anywhere.
Analytics
Aggregate counts of which pages and lots get looked at, so we know what to photograph more of.
You can decline these and everything still works.
We do not run advertising cookies, and we do not let anyone else track you across other sites
from ours.
07 Who else sees it
A short list, and all of them work for us under contract:
- Our payment processor, to take your money safely.
- FedEx and USPS, to deliver your lot — name, address and phone number only.
- Our email provider, to send invoices, outbid notices and the newsletter.
- Our hosting and database provider, which stores the platform itself.
- Our accountant, for the sales records they are required to see.
We will also hand over information if a court or a law enforcement agency lawfully requires it,
and we will tell you when we are allowed to. If Icons is ever sold, your information moves with
the business and this policy moves with it.
Consignors are told what their lot sold for. They are never told who bought it.
08 How long we keep it
- Sale records — permanently. Which lot, which certificate serial, which sale.
A certificate is only worth something if we can still verify it in twenty years, including for
somebody who buys the piece from you.
- Invoices and tax records — seven years, as required.
- Account and contact details — until you ask us to delete them.
- Live-room activity, including device and interaction signals — 90 days, then
deleted. It exists to run the sale and to settle any dispute about it, and after that it has
no purpose.
- Marketing lists — until you unsubscribe, plus a record that you did, so we
do not email you again by mistake.
09 Your choices
Whatever state or country you are in, we will honour these:
- See it. Ask for a copy of what we hold about you.
- Fix it. Correct anything wrong, or do it yourself in your account.
- Delete it. We will remove your account and contact details. Sale records,
invoices and certificate serials stay — we are required to keep those, and the authenticity
of pieces already sold depends on them.
- Take it with you. Ask for your data in a portable file.
- Stop the email. One click in any message, or the notifications tab in your
account.
- Opt out of a sale of your data. There is nothing to opt out of — we do not
sell or share it for advertising, and we never have.
Write to privacy@iconsofpopculture.com and we will respond within 30 days.
We will not make you jump through hoops, and asking costs nothing.
10 Children
You must be 18 to register, bid or buy. We do not knowingly collect information from anyone
under 13. If you believe a child has given us information, tell us and we will delete it.
11 Keeping it safe
Everything travels over an encrypted connection. Passwords are hashed. Access to bidder and
buyer records is restricted to the employees whose job requires it, and every change to a record
is logged with who made it and when — an internal audit trail nobody can edit, including us.
No system is perfect. If there is ever a breach affecting your information, we will tell you
and the relevant authorities, promptly and in plain language.
12 Changes and contact
If we change this policy in a way that matters, we will date it here and email anyone with an
account. Small corrections get the date and nothing more.
